Most Independent Artists Skip This Step Before Releasing Music—Don't Be One of Them

Updated: Jul 3

Summer is one of the best times to release music. People are outside, playlists are moving, DJs are active, events are packed, and artists are fighting to get their songs in front of new listeners.

But here is the part many independent artists miss:

You can spend money on recording, mixing, mastering, cover art, ads, playlist pitching, and distribution — then still skip one simple step that helps the industry recognize your song when radio starts playing it.

If your music is going to radio, college radio, mix shows, internet‑supported radio campaigns, or any station reporting airplay, you want your song information properly submitted before the push begins.

What Is Mediabase?

Mediabase is one of the music industry’s major radio airplay tracking services. It monitors music airplay across U.S. and Canadian markets and provides charts, reports, and airplay data used by radio and music professionals. Mediabase states that it monitors more than 1,800 media outlets in over 160 markets, and its charts are published weekly in Pollstar and used by many radio countdown shows and consumer sites.

In plain language, Mediabase helps track what songs are getting played.

That matters because radio spins are not just “exposure.” They can become proof.

Proof that your record is moving. Proof that stations are reacting. Proof that your campaign has activity. Proof you can use when pitching managers, labels, booking agents, playlist curators, publicists, and future collaborators.

Why This Still Matters in 2026

Some artists think radio no longer matters because streaming dominates the conversation. That is a mistake.

Streaming shows one side of the demand. Radio shows another.

Radio can help build awareness, especially when paired with a smart digital strategy. A spin can lead to Shazams, searches, playlist adds, social follows, ticket sales, and new fans discovering your catalog.

Even more important, Luminate (formerly Nielsen Music) now directs artists to use the Mediabase New Music Registration form for airplay tracking and says music should be registered at least one week before street date to enable day‑one tracking. That means this is no longer just an “industry secret.” It is part of a serious release setup.

The Mistake Most Artists Make

Many independent artists wait until after the song is already out.

They release the record, start emailing stations, get a few DJs interested, and only then realize they never submitted the song properly for tracking.

By that point, momentum may already be happening.

That is risky because Mediabase says new music encoding requests are processed manually during normal business hours, Monday through Friday, 9 AM to 4 PM Pacific Time, and high‑priority releases outside those hours require prior arrangements.

Translation: Do not wait until release day.

What You Need Before Submitting

Before you submit your music, make sure your release details are clean and consistent everywhere.

You will want:

  • Your exact artist name

  • Your exact song title

  • Your featured artist information

  • Your label name, if applicable

  • Your official release date

  • Your track ISRC

  • Your album or single UPC, if applicable

  • Your artist website

  • Your final audio file

The Mediabase New Music Notification form also currently asks whether generative AI was used to create any of the audio, whether the release is from an independent label, and whether the song is Canadian Content.

This is why metadata matters. A great song with messy information can create unnecessary confusion.

Why ISRC and UPC Codes Matter

Your ISRC is the unique code attached to the recording. Your UPC identifies the product release.

These codes help systems connect your song to the correct artist, title, release, and reporting activity. If your spelling, version title, featured artist name, or codes are inconsistent, you can make your own release harder to track.

This is also why your final master's should be prepared professionally before you start submitting it everywhere. Most distributors do offer these codes for free.

At Legendary Mix, we always remind artists that mixing and mastering are not just about loudness. Your release has to sound competitive, translate across systems, and be ready for real‑world opportunities — radio, streaming, sync, DJ pools, and playlist pitching.

How To Use Mediabase in Your Summer Release Plan

Do not treat Mediabase like a magic button.

Registering your song does not guarantee radio play. It does not replace promotion. It does not mean every station will suddenly find your music.

Think of it as infrastructure.

Before you build attention, make sure the tracking system can recognize the record.

A smart summer release plan looks like this:

  1. Finish the mix and master.

  2. Confirm your ISRC and UPC.

  3. Register your song with Luminate where needed.

  4. Submit your song through Mediabase New Music Notification.

  5. Build your clean radio edit if necessary.

  6. Prepare your EPK and private streaming link.

  7. Pitch stations, DJs, blogs, playlists, and tastemakers.

  8. Track the results and follow up professionally.

That is how you stop treating your release like a random upload and start treating it like an asset.

Final Word: Do Not Leave Reach on the Table

Independent artists are already working hard enough.

You are paying for studio time. You are investing in visuals. You are promoting posts. You are trying to get heard in a crowded market.

So do not let a simple setup step weaken your campaign.

Before you release this summer, make sure your song is mixed, mastered, coded, registered, and ready to be tracked.

Because the artists who win are not always the ones with the biggest budget.

Sometimes they are the ones who prepare like professionals before the opportunity arrives.
